Privacy Policy

Last updated: 16 October 2026

This policy explains what personal information Rentaquill collects, why, and what your rights are. The short version: I only hold what you choose to send me, I use it to work with you, and I never sell it.

Who I am

Rentaquill Ltd (company number 07605460) is the data controller for the information described here. The registered office is 9, Runton House, West Runton, NR27 9RA. You can contact me about anything in this policy at words@rentaquill.co.uk.

What I collect

  • When you get in touch: your name, email address, phone number if you call, and whatever you include in your message.
  • When we work together: the information needed to do the work, such as drafts, briefs and notes you share, plus details needed for invoicing (for example your business name and address).
  • When you visit this website: the site has no contact forms, analytics or advertising trackers. Like all websites, the hosting server keeps routine technical logs (such as IP address, browser type and pages requested) for security and to keep the site running.

Why I use it, and the legal basis

  • To reply to your enquiry and talk through your project (legitimate interests).
  • To carry out and invoice the work we agree (performance of a contract).
  • To keep business and tax records (legal obligation).
  • To keep this website secure and working (legitimate interests).

I won’t send you marketing emails unless you’ve asked me to.

Who I share it with

I don’t sell or rent your information. It’s only shared with the service providers I rely on to run the business, and only as far as they need it: my email and web hosting providers, and my accountant. I may also disclose information if required to by law.

This website uses Google Fonts, so when a page loads your browser connects to Google’s servers, which receive your IP address. Google’s own privacy policy applies to that.

International transfers

Some service providers (such as Google) may process data outside the UK. Where that happens, I rely on providers that use recognised safeguards, such as the UK International Data Transfer Agreement or the UK–US data bridge.

How long I keep it

Enquiries that don’t lead to work are deleted within 12 months. Records relating to paid work are kept for six years after the end of the financial year they relate to, as required for tax purposes, and then deleted.

Cookies

This website doesn’t use cookies to track visitors. Cookies are only set if you log in to manage the site, and they are needed for that to work.

Your rights

Under UK data protection law you have the right to ask for a copy of the information I hold about you, and to ask me to correct it, delete it, restrict how I use it, or stop using it. You can also ask for it in a portable format. Just email words@rentaquill.co.uk and I’ll respond within one month.

Complaints

If you’re unhappy with how I’ve handled your information, please tell me first so I can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes to this policy

If this policy changes, the updated version will be posted on this page with a new date at the top.
